The team members will model five different roles throughout the duration of the activity:

 

·       Facilitator

·       Recorder

·       Gate Keeper

·       Time Keeper

·       Team Member

 

Facilitator

 

The Facilitator is the meeting leader.  The facilitator must remain neutral and must not contribute ideas or evaluate another team member’s ideas. 

 

The Facilitator should

 

·       Follow the agenda (stay on task)

·       Clarify ideas whenever necessary

·       Establish the pace of the activity

·       Make sure everyone has a chance to participate

·       Use the process tools correctly

·       Close discussions

·       Handle disruptive situations

 

Recorder

The Recorder is responsible for writing down all of the team’s ideas and is also responsible for following specific guidelines. 

 

The Recorder should

 

·       Write neatly and quickly

·       Use at least two different color markers to record ideas (this helps team members separate ideas easily)

·       Number, date, and title each sheet

·       Listen for key words that capture the basic idea of the statement

·       Number each statement item or idea

·       Make appropriate changes non-offensively

·       Ask the Facilitator to provide clarification or confirm accuracy if paraphrasing an idea

·       Remain neutral and communicate through the facilitator.  (The Recorder does not participate without permission of the team.

 

Gate Keeper

The Gate Keeper ensures that everyone follows the ground rules.  The Gate Keeper should be aware of and understand all the ground rules.  If a ground rule is broken, the Gate Keeper brings the situation to the team’s attention.  This should be stated in a non-offensive way.

 

Time Keeper

The Time Keeper ensures the team follows the designated time on the agenda for each particular segment.  The Time Keeper may use a stop watch to measure time limits for each segment of the meeting agenda.

 

Team Member

Each Team Member’s role is vital to the success of the team.  The Team Member is responsible for contributing ideas and making decisions by using the process tools during the meeting.  The team member is responsible for helping the team stay on task by following all ground rules and the agenda.
